The Commercial Building Preventive Maintenance Checklist
A room-by-system PM checklist for commercial buildings — every major system, a suggested frequency, and columns to track what's done and what's due.

Preventive maintenance is the cheapest work a building ever does. A filter change is a few dollars; the compressor it protects is a few thousand. Yet PM is also the first thing that slips when a building runs lean, because nothing breaks the day you skip it — the cost shows up months later as an emergency call, a shortened equipment life, or a deferred-maintenance backlog that scares off a buyer.
This checklist is the whole-building version of the program we run for the properties we manage across Virginia, DC, and Maryland. It’s organized by system, gives each task a suggested starting frequency, and leaves columns for who’s responsible and when it was last done. Download the Excel workbook, open it in Excel or Google Sheets, and adapt the frequencies to your equipment.
How to use it
Walk the building once with the list open and mark which systems you actually have — not every building has a cooling tower, a fire pump, or a green roof. Delete the rows that don’t apply and add any equipment specific to your property. Then set a realistic frequency per task based on three things: manufacturer guidance, equipment age and run hours, and the interval any regulator requires. New rooftop units can stretch to quarterly filter changes; a twenty-year-old unit in a dusty industrial bay may need monthly.
The two columns that make the difference are Last Done and Next Due. A checklist without dates is a wish list. The moment you can see what’s overdue at a glance, the program starts working.
What’s on the list, by system
- HVAC — filter changes, belt and bearing inspection, coil cleaning, condensate line clearing, refrigerant and superheat checks, economizer and damper operation, thermostat and controls calibration, cooling-tower water treatment.
- Electrical — panel and breaker inspection, infrared scan of switchgear, emergency and exit lighting tests, generator load test and fuel checks, transfer-switch exercise, receptacle and GFCI testing.
- Plumbing — water-heater and mixing-valve checks, backflow preventer testing, sump and ejector pump operation, fixture and flush-valve inspection, drain cleaning, leak survey.
- Roofing and envelope — semi-annual roof inspection (spring and fall), drain and scupper clearing, flashing and sealant checks, sealed-façade and window-caulk survey, expansion-joint inspection.
- Life safety — fire-alarm inspection, sprinkler and standpipe testing, fire-pump churn test, extinguisher checks, emergency-lighting and egress verification. In the DMV these follow the schedule the authority having jurisdiction sets, and the regulated tests are performed by licensed specialists — the checklist tracks that they happen on time, not that you self-perform them.
- Elevators and conveyances — monthly operational check, annual state inspection coordination, and the maintenance-control-program tasks the elevator contractor performs.
- Grounds and exterior — irrigation start-up and winterization, parking-lot and sidewalk inspection, exterior lighting, snow-and-ice readiness (a DMV essential from November through March), and landscape seasonal work.
- Interior and janitorial — floor-care rotation, restroom and fixture deep cleans, entry-mat and pressure-washing schedules, and pest-control monitoring.
- Controls and BAS — sensor calibration, schedule and setpoint review, alarm-point audit, and a trend review to catch drift before it becomes a comfort complaint.
Where the DMV changes the schedule
Two things about this region push PM cadence. First, the cooling-to-heating swing is sharp — spring and fall are the windows to service both sides before you need them, which is why envelope and HVAC changeover PMs cluster there. Second, winter operations matter more than owners new to the region expect: freeze-protection, snow-and-ice contracts, and roof-drain clearing belong on the calendar by October, not after the first storm.
Regulated compliance testing — fire, sprinkler, backflow, elevators — is set by DC, Maryland, and Virginia authorities, not by preference. Keep those rows anchored to the required interval and treat them as non-negotiable; a lapsed certificate is both a safety issue and a liability exposure.
When the spreadsheet stops keeping up
A single building runs fine on a shared sheet. The trouble starts around the point where you’re tracking a few hundred due dates across several properties, chasing vendors for proof each got done, and trying to reconstruct an asset’s repair history from email. That’s when preventive maintenance belongs in a system that schedules the work, logs completion with photos, and keeps a per-asset record you can hand to a client or an insurer. How often should preventive maintenance be done on a commercial building?
Frequency is set per system, not per building. Filters and belts are monthly to quarterly; most HVAC, electrical, and plumbing PMs run quarterly or semi-annual; roofing and envelope inspections are semi-annual (spring and fall in the DMV); and regulated systems — fire alarm, sprinkler, backflow, elevators — follow the interval the authority having jurisdiction requires, usually annual. The checklist lists a suggested starting frequency for each task; tune it to equipment age, run hours, and manufacturer guidance.
What's the difference between preventive and reactive maintenance?
Preventive maintenance is scheduled work that keeps equipment inside its design envelope — filter changes, lubrication, calibration, inspections — so failures are caught early or avoided. Reactive maintenance is unplanned repair after something breaks. A building running mostly reactive pays more per repair, carries more emergency premium labor, and shortens equipment life. The checklist is the backbone of shifting that ratio toward planned work.
Do I need a CMMS to run this checklist?
No — the checklist works as a spreadsheet, and many small portfolios start there. What a CMMS adds is automatic scheduling, a work-order and parts history per asset, and proof-of-completion you can hand a client or an insurer. When the spreadsheet stops keeping up with the number of assets and due dates, that's the signal to move it into a system.
