How to get a useful number out of this

The estimate is only as good as the rates you feed it. Start by deleting the services your building doesn't buy — not every property carries security or common-area utilities in the operating budget. Then replace each placeholder rate with a real one: last year's actuals, a line from a current vendor invoice, or a number from a proposal you're evaluating. The blended cost per square foot at the bottom is the figure worth watching — it's how operators compare buildings of different sizes, and it's the fastest sanity check on whether a bid is high or low.

Two honest caveats. First, this is a planning model, not a quote — real pricing depends on building age, equipment condition, occupancy, service levels, and how much is self-performed versus subcontracted, none of which a per-square-foot rate captures.
